Privacy Policy

Last updated · September 27, 2026

Kool Quarters LLC (“KoolQuarters,” “we,” “our,” or “us”) respects your privacy. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using our website at koolquarters.com (the “Site”), you agree to the practices described here.

1. Information we collect

We collect three kinds of information:

  • Information you give us. When you use our contact form or email us, you may share your name, email address, phone number, property location, the type of inquiry (property owner, investor, or other), and anything you write in your message.
  • How you found us. The first time you visit, your browser saves a small note in its own local storage about how you arrived: the website that referred you (the site name only, never the full address), any campaign tags in the link you followed (for example, a tag on a mailer or our Google Business Profile), the first page you saw, and the date. This note stays on your device. If you send us an inquiry, it is sent along with your message so we know which of our efforts led you to us.
  • Site usage and performance. Our hosting provider, Vercel, keeps standard server logs, which may include your IP address, browser type, device type, referring website, and the pages you requested. We also use Vercel Web Analytics and Vercel Speed Insights to see aggregate information such as how many people visit, which pages they view, which buttons they click (for example, “Call” or “Get an Estimate”), how they found the Site, and how quickly pages load. These tools do not use cookies, do not build a profile of you, and do not follow you to other websites. We never send your name, email, phone number, or message to them.

2. How we use information

We use the information we collect to:

  • Respond to your inquiry and follow up about our services.
  • Understand which pages and outreach efforts are helpful, so we can improve them.
  • Keep the Site running, fast, and secure.
  • Comply with applicable legal obligations.

We do not sell your personal information. We do not share it with anyone for their own marketing. We do not use advertising pixels, session recordings, or tools that try to identify anonymous visitors.

3. Service providers

We rely on a small number of trusted vendors. Each one handles information only on our behalf and only as needed to do its job:

  • Vercel hosts the Site and provides server logs, Web Analytics, and Speed Insights.
  • Resend delivers the emails generated by our contact form, including the confirmation we send you.
  • Discord and Notion are the private tools our two owners use to receive new inquiries quickly and keep track of follow-ups. Only the owners can see them.
  • Google Search Console tells us which Google searches led people to the Site. It provides aggregate search data only and receives no information about you from us.

4. Cookies, tracking, and your privacy signals

The Site does not use cookies for analytics or advertising, so there is no cookie banner. We do not use third-party advertising trackers, and we do not track visitors across other websites. If we ever add cookie-based analytics or advertising tools, we will update this policy first and ask for your consent where the law requires it.

Do Not Track and Global Privacy Control. We honor both. If your browser sends a Do Not Track or Global Privacy Control signal, the Site does not send any page view, click, or performance data to Vercel Web Analytics or Speed Insights. Our hosting provider still keeps the standard server logs needed to run and secure the Site. If you choose to send us an inquiry, we still record an anonymous count of that one submission, along with its inquiry type and how you first found the Site. That count is never tied to your name, email, phone number, or message.

5. Data retention

We keep inquiry information, including how you found us, for as long as we need it for our business relationship with you and for legal, accounting, or record-keeping purposes. You can ask us to delete your information at any time by emailing info@koolquarters.com, and we will do so unless the law requires us to keep it. Analytics data is aggregate and is not tied to your name or contact details. You can clear the local note about how you found us at any time by clearing your browser’s site data.

6. Your rights

Depending on where you live, you may have the right to access, correct, or delete personal information we hold about you, or to opt out of certain uses. To exercise these rights, contact us at info@koolquarters.com. We will respond within a reasonable timeframe.

7. Children’s privacy

The Site is not directed to children under 13, and we do not knowingly collect personal information from children.

8. Security

We use commercially reasonable measures to protect information in transit and at rest. No method of transmission or storage is perfectly secure, however, and we cannot guarantee absolute security.

9. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page reflects the most recent revision. Material changes will be communicated via this page.
